This Exhibitor InfoPack provides the information you will need to participate in the Fremantle Boat Show ("the Event") on the Esplanade Reserve Park ("the Park") and in the Fishing Boat Harbour ("the Harbour"), Fremantle ("the Venue"). How to use this InfoPackThe InfoPack is in two parts. The first part contains answers to the questions we are most frequently asked by exhibitors participating in the Fremantle Boat Show. At the Venue during Move-in, you may also obtain assistance from our Service Desk located on the Park. This InfoPack is to be read in conjunction with the suite of Exhibitor Forms' links. Questions about access, insurance & securityDo I need a pass to access the Venue?During the Move-in and Move-out periods of the Event, you do not need an Exhibitor Pass to gain entry to the Venue. However, it is always a good idea to ensure that you and your staff carry some form of ID just in case our security people ask for it. During Event Days you and your staff are required to wear the wristbands that we provide. The wristbands are produced in a durable material and are especially designed to endure a 4 to 5 day event. The wristbands may be obtained on the last Move-in day of the Event. All exhibitors should identify themselves at the Exhibitor Registration marquee located in the south-western corner of the Park. Each exhibitor will be registered and a wristband fitted. The wristbands may only be secured with the custom-made crimping tool operated by an authorised Exibit staff member. It will also be possible to register and receive a wristband once the Event commences. This may be done at the Exhibitor Registration marquee. You may need to queue for some time if you wish to obtain a wristband on the morning of each Event Day. For this reason you are best advised to obtain your wristband during Move-in and to leave it on for the duration of the Event. Do I need insurance?Under the terms of participation in the Event, you are required to hold a public liability insurance policy specific to the Event. This policy must include Third Party (Public Liability) Insurance with a minimum of $10 million coverage for any claim against damage or injury caused to third parties (including visitors) who are on or in the vicinity of your display stand. It is a requirement that we sight a copy of your Certificate of Currency to allow us to confirm that you have appropriate and adequate cover. Alternatively, we can arrange a special-purpose Public Liability Insurance policy through QBE Insurance (Australia) Limited for a cost of $125 based on a limit of indemnity of $10 million for any one occurrence. The insurance has effect from the first day of Move-in to the final day of Move-out. The policy provides Public Liability Insurance only and will not respond to any claims arising from the sale or supply of products at the Event, or for goods lost, damaged or stolen. To request insurance or to advise that you have an existing policy complete and return FaxBack Form Number 1. Exibit receives a fee for arranging and placing the special-purpose cover. Looking After Your Gear
Representatives of the Sea Scouts will be present on the Esplanade Park each night. As part of their activities, they will be keeping an eye on the displays and watching out for anyone acting suspiciously. They will only be present on the Park and in the Harbour during the non-opening times of the Event. It is important that you have staff during those periods when the Scouts are not present. The table below indicates the times for which the Scouts will NOT be present.
Times subject to change The role of the Scouts is to provide some protection for your equipment. However, you are reminded to ensure that you have adequate property insurance. You are also are advised to remove all portable high-value equipment from your displays during periods in which you do not have staff at your stand. Bulky or heavy equipment should be secured with chains and padlocks if you are concerned that it may be stolen. You are particularly advised to begin removing important equipment after the Event closes on the last day. Exibit cannot take responsibility for material lost, damaged or stolen (including hire equipment that is to be returned to rental companies). How are safety issues dealt with?It is your responsibility to ensure that all employees, suppliers and sub-contractors comply with all relevant health and safety regulations and that you and your suppliers and sub-contractors have in place and comply with an Occupational Health and Safety Policy. Are children permitted in the Venue?Children under the age of 16 are strictly not permitted on the pontoons in the Harbour and in the construction area on the Park during Move-in and Move-out times. Questions about Move-in on the ParkWhen is Move-in time?You will be advised of your Move-in time about two weeks prior to the Event. During Move-in, the Park can be very congested. For this reason, we advise a window of time during which you must arrive for Move-in. The time you are allocated is based on your location on the Park and aligns with the marquee erection schedule. If you arrive early your stand may not be ready or your location may not be defined. If you are late you may find that access to your stand is restricted by other Move-in activities. It is extremely important that you adhere to the arrival time allocated to you for Move-in. Late or early arrivals may result in considerable inconvenience to you. How do I access the Park?If you wish to bring a vehicle on to the Park you may only do so by first presenting at one of two Marshalling Points. The map on page 5 indicates the location of each Marshalling Point. One is in Car Park No 2 at the western end of the Park and the other is in Car Park No 11 at the eastern end of the Park. In the case of both car parks, access is from Marine Terrace. Upon arrival at the Marshalling Points you will be met by a grounds marshal and provided with a Move-in Pass upon which will be recorded your stand number mobile telephone number and time of arrival. You will then be granted access to the Park and designated a route to follow to access you stand. The Move-in Pass must be displayed on your vehicle's dashboard at all times that it is on the Park. The City of Fremantle has strict rules regarding vehicles on the Park. The unloading time is strictly limited to 60 minutes. There are no parking facilities available on the Park or adjacent to the Marshalling Points. Is there walk-in access?If you have only hand-carry items, you may park your vehicle in Car Parks Number 2 or 11 and walk onto the Park Otherwise, you must use the Marshalling Points to enter the Park for all vehicle deliveries (i.e. for items that are too large to be hand-carried onto the Park Venue from the adjacent car parks). Questions about Move-in in the HarbourWhen is Move-in time?You will be advised of your Move-in time about two weeks prior to the Event. During Move-in, the Harbour can be very congested. The time you are allocated is based on your location within Harbour and aligns with the floating pontoon assembly schedule. If you arrive early your pen may not be ready or your location may not be defined. If you are late you may find that access to your pen is restricted by other Move-in activities. It is extremely important that you adhere to the arrival time allocated to you for Move-in. Late or early arrivals may result in considerable inconvenience to you. How do I access the Harbour?The display area is in Fishing Boat Harbour to the north of the MG Kailis jetties The Harbour may be accessed from Challenger Harbour by heading in a north-westerly direction. Upon arrival at the outer section of the Harbour, a marshal whose responsibility it is to control the mooring activities, will motor out to meet you. You will be asked to identify yourself and the name of your company. The marshals will the give you instructions on the mooring procedures. A tender vessel will be working in the Harbour to direct you to your mooring location and to assist in manoeuvring your vessel. The floating pontoon system will be progressively assembled during the Move-in day. Some pontoons will only be able to be positioned and secured after the first boats are moored. It is, therefore essential that you arrive in accordance with the Move-in time allocated so as to ensure the pontoons can be placed to schedule. You are required to arrive at the Harbour within ten minutes of your allocated time. Late arriving boats may not be able to be positioned in the contracted locations. Is any mooring equipment provided?Mooring lines, fenders and anchors will NOT be provided. You are responsible for bringing with you everything you need to ensure your vessel is safely and reliably moored. A tender vessel will be in operation in the Harbour to assist you with manoeuvring your vessel and placing mooring lines and anchors. It is not permitted to attach any mooring lines to the Fishermen's Monument in the northern section of the Harbour. What is the depth of the water?The table below is to be read in conjunction with the map on page 5. The table indicates the depth of the water in the shallow locations of the Harbour for the lowest tide projected during Event days. This information is provided to allow you to consider whether you are likely to have problems with the draft or your vessel.
Depths should be checked before committing vessels to mooring. These figures are subject to the 2010 predictions only. What is the distance to the water line?The table below is to be read in conjunction with the map on page 5. The table indicates the distance from the top of the toe rail on the boardwalk to the water line for a variety of locations. The distances correspond to the lowest and highest tides projected over the Event. The toe rail height is the distance from the top of the toe rail to the boardwalk deck. This information is provided to allow you to consider access equipment if your vessel is located on the boardwalk.
Distances are approximations only. These figures are subject to the 2010 predictions only. Questions about Move-out on the ParkWhen can Move-out commence?Move-out can only commence once the displays are clear of the public. The gates to the Park will not open until such time as this requirement has been met. In the interests of showing integrity, occupational health, safety and security, you may not begin dismantling stands or removing equipment before the Event has closed to the general public. During Move-out, you should ensure that you have removed all items from the stand. It is strongly recommended that you give priority to removing and safely storing any hand-carry items, especially those of high value, as soon as possible after Move-out commences. How is Move-out managed?Move-out will follow a similar process to Move-in. You may arrange to have your pick-up vehicles assemble at the Marshalling Point in Car Parks No 2 and 11 from about 4:30PM onwards on the last Event Day. A marshal will be in position from this time and vehicles may be registered and Move-out Passes issued. The City of Fremantle has advised that vehicles parked in the car parks without a driver may be subject to a parking infringement notice. Once the gates to the Park are opened, the attendant will begin releasing vehicles from the Marshalling Point to the Park. A similar process as applied during Move-in will apply during Move-out. Vehicles that are on the Park during the Event and any time prior to 5:00PM may be issued with a parking infringement notice by the City of Fremantle. By when must my stand be cleared?All stands must be dismantled and cleared by midday on Monday. If you have bulk rubbish such as cardboard boxes or packing material, you are asked to remove this yourself or dispose of it in the skip bins provided. Any equipment or display material that you may have left on the Park after midday on the last Move-out day may be disposed of at your cost. Questions about Move-out in the HarbourWhen can Move-out commence?Move-out can only commence once the pontoons are clear of the public. No pontoons will be moved until such time as this requirement has been met. You are also requested to not begin removing mooring lines or moving vessels until after the Event has closed. In the interests of showing integrity, occupational health, safety and security, you may not begin dismantling stands or removing equipment before the Event has closed to the general public. During Move-out, you should ensure that you have removed all items from the pontoons or boardwalk. It is strongly recommended that you give priority to removing and safely storing any hand-carry items, especially those of high value, as soon as possible after Move-out commences. How is Move-out managed?Generally you will be responsible for managing the removal of your own vessels. If your vessel is located on the outside sections of the pontoons, you may depart the Harbour anytime after Move-out has commenced on Sunday. It is critical that your vessel has left the Harbour by 8:00AM on Monday morning. Disassembly of the floating pontoons will begin on Monday morning. You will be advised in advance when your vessel will be available to be removed. It is critical that it is removed as close as possible to this nominated time. Vessels within the pontoon compound will not be able to removed until Monday morning. By when must my vessel be removed?All vessels must be removed from the Harbour by midday on Monday. Prices and times subject to change What are the public transport options?Fremantle is well serviced by public transport. The Fremantle Train Station is the terminus for both trains and buses and it is only a short walk away from the Event. The free Fremantle CAT service connects the Train Station (Stop Number 1) to the Fishing Boat Harbour (Stop Number 24). The service operates approximately every 10 minutes from 7:30AM to 6:30PM on weekdays and from 10:00AM to 6:30PM on weekends. Questions about Materials HandlingAre materials handling services available?You will need to bring your own materials handling equipment. Restrictions apply to the types of equipment that can be brought on to the Park. In particular vehicles with small- diameter wheels (such as forklifts) will not be permitted on to the Park. Where heavy display equipment is to be brought in, the preferred method of transport is to use tray-back vehicles with cab-mounted cranes or tailgate-mounted lifters. In the event the Park lawns are wet and damage is possible, you may be asked to keep your vehicles away from cordoned off areas. Are storage facilities available?Storage facilities are not available either on the Park or in the Harbour. Can consigned deliveries be made?Unaccompanied consignment deliveries will not be accepted. Further, responsibility will not be taken for the safety or security of any goods delivered to the park or Harbour in the absence of the exhibitor. Questions about infrastructure on the ParkWho is the builder of the stands?Highlight Event Brokers is responsible for providing marquees for the Event and can also help with other display

Can I arrange a telephone/EFTPOS line?Landline-based telecommunications services cannot be provided in the Harbour. If you require telecommunication services it is suggested you consider wireless options. Will my display be cleaned?It is your responsibility to clean your displays and remove rubbish. Rubbish bins will be located around the Park and you may use these. There will also be a skip located at the western end of the Park for any bulk rubbish. Questions about food & beverageCan I offer food or beverage from my stand?Food or beverage preparation, sampling or sale is only possible with the approval of the City of Fremantle and is subject to you complying with the City's food and beverage rules. All food or beverage preparation activities are ultimately subject to control by the Government of Western Australia's Department of Health. It is your responsibility to ensure you comply with all relevant health regulations. Neither Exibit nor the City of Fremantle will accept any responsibility for any activity being discontinued as a result of an instruction from an authorised, external agent. Can I offer alcohol from my stand?If you wish to sample or sell alcohol from your stand you must secure the approval of the City of Fremantle and obtain an occasional Liquor Licence in accordance with the requirements of Liquor Licensing Act, 1998.
