How to use this InfoPackThe InfoPack is in two parts. The first part contains answers to the questions we are most frequently asked by exhibitors participating in events at the Perth Convention Exhibition Centre - the PCEC ("the Venue"). Questions about access, insurance & securityDo I need a pass to access the Venue?During the Move-in and Move-out periods of the Event, you do not need an Exhibitor Pass to gain entry to the Venue. However, it is always a good idea to ensure that you and your staff carry some form of ID just in case our security personnel ask for it. During Event Days you and your staff are required to wear the wristbands that we provide. The wristbands are produced in a durable material and are especially designed to endure a 4 to 5 day event. The wristbands may be obtained on the last Move-in day of the Event. All exhibitors should identify themselves at the Exhibitor Registration desk in the foyer outside of the main Pavilion door. Each exhibitor will be registered and a wristband fitted. The wristbands may only be secured with the custom-made crimping tool operated by an authorised Exibit staff member. It will also be possible to register and receive a wristband once the Event commences. This may be done at the sign-posted Exhibitor Registration desk in the foyer. You may need to queue for some time if you wish to obtain a wristband on the morning of each Event Day. For this reason you are best advised to obtain your wristband during Move-in and to leave it on for the duration of the Event. Are there any special access requirements?There are no special access requirements for Move-in, Move-out or during the Event Days. However, there may be times during the Build-up and Pull-down periods for which the Venue is deemed to be a "Construction Zone". The Build-up period is the time prior to Move-in during which our Stand-build Contractor and other contractors are working in the Venue to place rigging and erect stands. The Pull-down period is the time after Move-out during which stands and rigging is being dismantled. During these nominated Construction Zone periods, all personnel working within the Venue must be carrying both a:
There is a general requirement that all persons hold relevant licences and certificates appropriate to the activities in which they are to be engaged. There are some alternative cards from other Australian states that are also accepted. Do I need insurance?Under the terms of participation in the Event, you are required to hold a public liability insurance policy specific to the Event. This policy must include Third Party (Public Liability) Insurance with a minimum of $10 million coverage for any claim against damage or injury caused to third parties (including visitors) who are on or in the vicinity of your display stand. It is a requirement that we sight a copy of your Certificate of Currency to allow us to confirm that you have appropriate and adequate cover. Alternatively, we can arrange a special-purpose Public Liability Insurance policy through QBE Insurance (Australia) Limited for a cost of $125 based on a limit of indemnity of $10 million for any one occurrence. The insurance has effect from the first day of Move-in to the final day of Move-out. The policy provides Public Liability Insurance only and will not respond to any claims arising from the sale or supply of products at the Event, or for goods lost, damaged or stolen. To request insurance or to advise that you have an existing policy complete and return FaxBack Form Number 1. Exibit receives a fee for arranging and placing the special-purpose cover. What are the security arrangements?Security guards will be present in the loading docks during Move-in and Move-out and within the Venue prior to the commencement and immediately following closing on each Event day. The purpose of the security guards is only to restrict access of unauthorised persons into the Venue. They are not intended as protecting your equipment against theft or damage. You should ensure that valuable material is secured or removed during periods when your stand is not staffed. You are particularly advised to begin removing important equipment after closing time on the last Event day. Exibit cannot take responsibility for material lost, damaged or stolen (including hire equipment that is to be returned to rental companies). How are safety issues dealt with?It is your responsibility to ensure that all employees, suppliers and sub-contractors comply with all relevant health and safety regulations and that you, your suppliers and sub-contractors have in place, and comply with, an Occupational Health and Safety Policy. Can anyone work at the PCEC?If you have contractors building your stand or working on your stand, you need to be aware that they are required to be accredited by the Venue manager. It is suggested that you advise your contractors to contact the PCEC direct on exhibitor@pcec.com.au. Your contractors are also advised to contact Exibit (08) 9476 9418 to coordinate Build-up and Pull-down schedules as these may differ from the Exhibitor Move-in and Move-out times. Are children permitted in the Venue?Children under the age of 16 are strictly not permitted within the pavilions or in the loading docks during Move-in and Move-out times. Questions about Move-inWhen is Move-in time?You will be advised of your Move-in time about two weeks prior to the Event. During Move-in, the loading docks at the PCEC can be very congested. For this reason, we will advise a window of time during which you must arrive for Move-in. The time you are allocated is based on your location in the Venue and aligns with the stand build schedule. If you arrive early your stand may not be ready or your location may not be defined. If you are late you may find that access to your stand is restricted by other Move-in activities. It is extremely important that you adhere to the arrival time allocated to you for Move-in. Late or early arrivals may result in considerable inconvenience to yourself and others. How do I access the loading docks?There is limited queuing space in front of the boom gate on the access ramp that leads to the loading docks and on the loading dock aprons. To avoid congestion on the access ramp and around the loading docks on Move-in days, vehicles making deliveries are initially held in the Vehicle Holding Area adjacent to Mounts Bay Road. You must attend the Vehicle Holding Area with your vehicle before proceeding to the loading dock access ramp. An attendant will register your vehicle and direct you to park in the Vehicle Holding Area awaiting clearance from the loading docks. DO NOT drive directly to the loading dock access ramp. The Vehicle Holding Area on Mounts Bay Road provides a safe area to park and await clear access to the loading docks. As part of the registration process the attendant will provide you with a Move-in Pass on which your stand number, pavilion number, mobile telephone number and time of arrival is recorded. This pass must be shown to the guard operating the loading dock access ramp in order to gain access to the loading docks. How do I find the Vehicle Holding Area?The map on page 5 indicates the location of the Vehicle Holding Area. There are three possible ways in which you may approach the Vehicle Holding Area: When coming down Spring Street:At the bottom of Spring Street, turn right at the traffic lights onto Mounts Bay Road. Once past the intersection, turn left into the Vehicle Holding Area. When coming from Freeway South:Take the Mounts Bay Road exit from the Freeway after crossing over the Narrows Bridge. Turn right into Mounts Bay Road and stay in the right hand lane. Turn approximately ten metres before the traffic lights at the intersection with Spring Street, turn left into the Vehicle Holding Area. When coming from Freeway North:Take the Mounts Bay Road well before reaching the Narrows Bridge. Turn left into Mounts Bay Road and then immediately left again into the Vehicle Holding Area. On Move-in days, DO NOT drive directly to the loading dock access ramp without first presenting to the Vehicle Holding Area. If you fail to follow this process correctly you may find yourself heading north along the Freeway. How do I get to the loading docks?The map on page 5 indicates the route to be taken from the Vehicle Holding Area to the loading dock access ramp and then onto the loading docks. From the Vehicle Holding Area:Exit the Vehicle Holding Area onto Mounts Bay Road (a one-way road lane that heads away from the city). Once on Mounts Bay Road move into the right hand lane and continue through the first set of traffic lights. Approximately 30 metres past the traffic lights there is a break in the median strip island. Make a right hand 'U' turn into the right hand lane of Mounts Bay Road (heading back towards the city). Continue to the Spring Street intersection and turn right onto the Freeway North on-ramp and then immediately move into the left-most lane. This leads to the boom gate and gatehouse and forms the loading dock access ramp. Once you have arrived at the Vehicle Holding Area you must register with the security guard in attendance and obtain your Move-in Pass. What happens on the loading docks?Once you enter the loading dock area you will be under the control of the loading dock marshals. The loading docks are generally heavily congested and space is at a premium. You will be directed to your relevant pavilion and then to a position in which to temporarily park your vehicle. Depending on the size of your vehicle and the quantity of material that you have to deliver, you will be permitted between 20 and 60 minutes to unload your vehicle. This time allocation will be strictly controlled. There are no medium- or long-term parking facilities available to you in the loading dock area. You must ensure that you do not obstruct a path through the loading docks that would otherwise prevent forklift access into and emergency egress from the pavilions. This is both a logistical and occupational health and safety requirement. There are a number of conditions that apply to you accessing the loading area. These are:
Do I have to use the loading docks?You must use the loading docks for all large deliveries (i.e. for items that are too large to be hand-carried into the Venue from the foyers or needs a trolley for moving.). For hand-carry items only, you may access the pavilions via the front foyer during the Move-in and Event Day periods. To access the foyer you may park underneath the Convention Centre car park and use the stairs that lead from the car park into the foyer. The Convention Centre car park is heavily congested on weekdays between 7:30AM and 3:30PM. If you plan to use the car park, you are advised to arrive outside of these times. Please note it is not possible to park at the front of the PCEC on the Plaza. However, you may drop off your delivery, provided you have someone in attendance to receive it. While there are a number of lifts that connect the car park to the foyer, these are not designed as service lifts and are therefore not suitable for carrying larger items. Questions about Move-outWhen can Move-out commence?Move-out can only commence once the pavilions are clear of the public and children who are under the age of 16 years. PCEC staff will not open the loading dock doors until such time as this requirement has been met. In the interests of showing integrity, occupational health, safety and security, you may not begin dismantling stands or removing equipment from the pavilions before the Event has closed to the general public. During Move-out, you should ensure that you have removed all items from the stand walls, including pictures, photographs and posters. It is strongly recommended that you give priority to removing and safely storing any hand-carry items, especially those of high value, as soon as possible after Move-out commences. How is Move-out managed?Move-out follows a similar process to Move-in. You may arrange to have your pick-up vehicles assemble in the Vehicle Holding Area from about 4:00PM onwards on the last Event Day. An attendant will be in position from this time and vehicles may be registered and Move-out Passes issued. The City of Perth has advised that vehicles parked in the Vehicle Holding Area without a driver may be subject to a parking infringement notice. Once the loading dock doors are opened (generally 30 to 45 minutes after the closing time of the Event), the attendant will begin releasing vehicles from the Vehicle Holding Area to the loading docks. A similar process as applied on the loading docks during Move-in will apply during Move-out. Vehicles that present to the loading dock access ramp and boom gate without a Move-out Pass will be turned away and directed to the Vehicle Holding Area (via Freeway North and the city). By when must my stand be cleared?All stands must be dismantled and cleared by midday on the first day after the Event. If you have bulk rubbish such as paving bricks, carpet underlay boards or timber flooring, you are asked to remove or dispose of this yourself. Any equipment or display material that you may have left in the Venue after midday on the last Move-out day may be disposed of at your cost. Questions about parkingWhat parking is available at the PCEC?Please see FaxBack Form Number 13 to reserve parking bays for any of the show days (including move-in and move-out days). The City of Perth owns and operates the carpark at the PCEC through its business unit City of Perth Parking (CPP). The carpark has 1484 bays, including 23 ACROD and is open 24 hours a day, seven days a week except for maintenance and servicing. Fully-trained customer service staff are in attendance. The carpark features the latest "pay on foot" technology, security patrols, closed-circuit television systems and a staffed control room. The Centre provides special parking bays, ramps and purpose built toilet facilities for the disabled. What other parking is available?There are over 30 car parks in the city area within a short walk of the Centre. Go to City of Perth Parking or Wilson Parking for more information. What are the public transport options?There are a wide variety of options for you to use public transport to travel to the PCEC.

Questions about Materials HandlingAre material handling services available?An on-site material handling and freight forwarding service is operated by Agility Fairs & Events. The specific services provided by Agility include:
To pre-book freight or forklift services with Agility, complete and return FaxBack Form Number 2. Alternatively you may make arrangements with Agility on the loading docks but you will incur delays and a 20% on-site order surcharge. PCEC rules allow only preferred contractors to operate forklifts in the Venue. Are storage facilities available?Storage facilities are not available at the Venue. Agility can however provide off-site storage for empty containers and other crates. This service is generally not suitable for supplies that you may need access to re-stock your stand during the Event. To arrange storage off-site facilities with Agility, complete and return FaxBack Form Number 2. Can consigned deliveries be made?PCEC will not accept deliveries of any goods on behalf of Exhibitors or provide storage for any items delivered. PCEC accepts no responsibility for the safety of any such items delivered to the site in the absence of the Exhibitor. If you wish to have goods delivered to a loading dock, you must ensure that you have a responsible person available to accept the delivery and to transfer the goods to your stand. Consigned deliveries will otherwise be rejected at the loading docks. Agility can be contracted to receive deliveries on your behalf. To arrange delivery receipt services with Agility, complete and return FaxBack Form Number 2. To facilitate the delivery of goods to the PCEC, all consignments must be marked with the following details (alternatively, please print the Exhibitors Delivery Notice and attach it to all items):

Centre (via loading docks), Can I operate machinery?Machinery, equipment or substances likely to jeopardise the health or safety of any person are prohibited.The operation of machinery or equipment that is likely to be hazardous to the health or safety of attendees is prohibited. All machinery should be fitted with guarding, fencing, immobilisation locks etc, to ensure a safe environment for staff and patrons. Signage above is not acceptable as a protective method. Machinery must be appropriately fitted with guards, fencing, locks etc to ensure a safe environment to all. Signage alone is not an acceptable method of protection. Persons operating equipment or machinery during an exhibition must be the current holder of the relevant certificate or licence as required by law to operate such equipment. All persons operating this equipment are to be appropriately licensed with current certificates as required by law. What about electrical equipment?Prior to entering the venue all portable electrical equipment, appliances and leads to be used on site must have already been tested and tagged.All equipment entering the Venue will be checked by PCEC’s safety management team and reserves the right to demand removal from the site any electrical equipment it deems to be non compliant or suspect. PCEC’s safety management team can call upon internal specialists to assist when circumstances require it. PCEC operates a tag out/lock out system. All electrical items that have been either tagged or locked-out, cannot be used. DO NOT remove any danger tags from any electrical equipment in order to use the equipment. Removal of tags is a breach of workplace health and safety legislation. Questions about stand design & activitiesWho is the builder of the stands?Perth ExpoHire is the display contractor that builds the stands for the Event. It is also the supplier of rental furniture and other display equipment. During Move-in times, Perth ExpoHire will operate a Service Desk located inside one pavilion. Its staff will be able to help with any aspect of your stand build (including supplies of Velcro) or with any special lighting, power, walling, carpet or furniture requirements. Can I order fascia signs, power or lights?If you have purchased a shell scheme package you are entitled to have your company name printed on the fascia board of your stand. You must complete and return FaxBack Form Number 3 to advise Perth ExpoHire of the name you wish to have printed on the fascia board. If you wish to upgrade to a custom logo, order additional power or lights or check that the power being provided is adequate; you must also complete the details on FaxBack Form Number 3 to Perth ExpoHire. To arrange fascia signs, power and lights, complete and return FaxBack Form Number 3. Special note:Approximately one hour after the show closes each evening, the power on your stand will be turned off. The power will come on again about one hour prior to the show opening to visitors. If you have product or equipment that may be damaged as a result of the power being off, please advise Exibit at logistics@exibit.com.au prior to the first Move-in day. What stand height restrictions apply?There are special requirements for high stands. These primarily relate to compliance with the Building Code of Australia. Any structure that is over 2.4 metres high; or, contains a roof or ceiling with an area greater than 18m2 requires the approval of the Venue manager. You may request approval by submitting a drawing with dimensioned plan and cross-section elevation views together with details of construction materials and method. Drawings should also show all features - including access/egress points and stairways (if applicable). Artist's impressions are not acceptable. The Venue manager may request that a structural engineer's certificate be obtained if it is believed that the integrity of the structure or compliance with the building codes may be questionable. Structural calculations will be at your cost. Structural design drawings must be emailed to Exibit on logistics@exibit.com.au well in advance of the Event date. For aesthetics reasons, you will be required to ensure that the reverse of any exposed stand wall is finished in a presentable manner. Any stand that incorporates a roof or ceiling may be required to provide additional fire protection equipment (e.g. smoke detectors, a portable CO2 fire extinguisher or possibly a fire sprinkler system). Can stands have a raised floor or steps?You may incorporate raised floors, steps or ramps in your stand provided they comply with the relevant sections of the Building Code of Australia and with normal occupational health and safety guidelines. Raised floors, ramps or steps must not contain sharp or dangerous edges and must not cause a trip hazard. They must be clearly distinguishable from the surrounding area. Disabled access to all stands must be provided. Specifically:
Can I lay bricks or pavers?You may lay bricks or pavers provided plastic sheeting is first laid on the floor to prevent it from being damaged. You are required to provide the plastic sheeting yourself. If you cause damage to the building, including its floors, you will be charged for cost of the repairs. Items cannot be attached to the floors or walls of the pavilions or glued or fixed to any part of the building. Can I hang banners & signs?If you wish to hang banners or signs from the building structure you must use a rigger approved by the Venue manager. The width of banners and signs cannot exceed the frontage of the stand and all banners must be installed with at least 3.5 metres of clearance from the floor to the underside of the banner or sign. If the banner or sign is suspended from part of your stand (i.e. not suspended from the building) then the supporting structure may be subject to structural design approval by the Venue manager. All banners and signs must be clean and presentable and not detract from the visibility or amenity of neighbouring stands. Double-sided banners or signs must not intrude upon or obstruct neighbouring signs or displays. Banners or signs cannot be suspended on the perimeter of a stand, over aisles or into public areas. All banners and signs must be one metre inside the stand perimeter and not on the stand boundary. Exibit reserves the right to direct the Venue riggers concerning placement and positioning of banners or signs to comply with these regulations. Can bottled gas be used?You may use bottled gas such as LPG subject to the installation complying with statutory regulations and the Australian Standards relevant to dangerous goods and equipment. Questions about support servicesCan I get on-stand fax line, EFTPOS line and Internet?You may arrange on-stand fax or EFTPOS lines. You may also arrange access to the Internet. All of these services are provided by the Venue manager but must be ordered well in advance of the Event. To request fax or EFTPOS lines complete and return FaxBack Form Number 6. To request an Internet service complete and return FaxBack Form Number 7. Will my stand be cleaned?Your stand will be vacuum cleaned prior to each Event day. A special clean will occur after Move-in whereby bulk rubbish that you have placed in the aisles will be removed. If you have a floor covering that is not carpet you will need to make separate arrangements to have it cleaned. Floor mopping is not included as part of stand cleaning. Are business services available?A Business Centre is located on Level 2 of the PCEC. It provides a range of office services including photocopying and Internet access. You will be charged for using the Business Centre's services. The facilities are available only on weekdays and during business hours. Questions about food & beverageIs on-stand catering available?You can arrange on-stand catering with the Venue manager. For further details about on-stand catering and to request an application form, contact the PCEC direct on exhibitor@pcec.com.au. Can I prepare food or beverage on my stand?Food or beverage preparation is only possible with the approval of the Venue manager and is subject to you complying with the PCEC's food and beverage rules. All food or beverage preparation activities are ultimately subject to control by the Government of Western Australia's Department of Health. It is your responsibility to ensure you comply with all relevant health regulations. Neither Exibit nor the Venue manager will accept any responsibility for any activity being discontinued as a result of an instruction from an authorised, external agent. To prepare food or beverage, complete and return FaxBack Form Number 8. Can I sell food or beverage from my stand?The PCEC has the exclusive right to sell any food or beverage for consumption on-site. You may sell or offer food
or beverage samples to visitors subject to the approval of the Venue manager (may attract a corkage charge) and provided you comply with the PCEC's food and
beverage rules. To sell food or beverage samples, complete and return FaxBack Form Number 8. Can I offer food or beverage samples?The Venue manager will allow you to offer food or beverage samples to visitors subject to you complying with the PCEC's food and beverage rules provided:
The Venue manager reserves the right to enforce the discontinuation of supply of any food or beverage if you do not comply with the guidelines above. To offer food or beverage samples, complete and return FaxBack Form Number 8. What are the PCEC's food or beverage rules?The PCEC's rules for preparing, selling, distributing or sampling food or beverages, (including alcoholic beverages) incorporate the HACCP guidelines and also stipulate that:
